Mini Bus Rental with a Professional Driver for Groups of 18 to 35

A minibus is the bus most groups actually need: big enough to keep everyone together, small enough to pull into a hotel drive, a vineyard lane or a church lot that would turn a full-size coach away. BUSXOXO books chauffeured minibuses across all 50 states for weddings, airport runs, corporate days, school trips and tours, with one quote that covers the vehicle, the driver and the plan. For groups of 15 or fewer, our Sprinter van rental is usually the better fit.

What you are actually booking when you rent a mini bus

"Minibus" gets used for everything from a stretched passenger van to a 35-seat mini coach, which is why two quotes for the "same" vehicle can look so different. Here is the vehicle we mean, part by part, so you can compare like for like.

The short definition

In the charter world, a mini bus is a purpose-built passenger bus, usually a bus body mounted on a heavy-duty truck chassis, that seats somewhere between 18 and 35 people plus the driver. It sits in the gap between a 15-passenger van and a full-size charter bus. You stand up inside it, walk down a real aisle, and step on through a wide door instead of folding yourself through a van's sliding side panel.

Because it is roughly 10 to 15 feet shorter than a motorcoach, a minibus handles tight city blocks, residential cul-de-sacs, older downtown hotels and winding venue driveways with far less drama. That maneuverability is the single biggest reason groups choose one, ahead of price.

The minibus is also the most varied class in the charter world. Coaches from different manufacturers look much alike inside; minibuses range from airport-style shuttles to leather-seat mini coaches. That variety is useful, but only if the build matches the trip, which is the subject of the next sections.

One rule shapes everything else: any vehicle built to carry 16 or more people, driver included, is a commercial motor vehicle that requires a driver with a commercial driver's license and a passenger endorsement. That is why every BUSXOXO minibus rental comes with a professional driver. There is no self-drive option at this size, and any company offering one deserves a hard second look. The FMCSA's CDL guidance explains the rule in plain terms.

Reading the diagram

A
Driver's cab. Separated from the passenger area on most models, with a PA microphone so the driver or your trip lead can make announcements.
B
Front entry door. Usually a wide bi-fold door with two or three steps and grab rails. Lift-equipped models add a separate rear or side wheelchair door.
C
Seating rows. Typically 2+1 or 2+2 forward-facing seats. Executive versions add high-back reclining seats; shuttle versions use simpler seats and more standing headroom.
D
Rear luggage area. Most minibuses store bags in a rear compartment or interior rack rather than full under-floor bays, which is why luggage planning matters more than on a coach.
E
Dual rear wheels. The heavy-duty chassis gives a steadier ride than a van, especially on highways with a full load.
F
Aisle and headroom. Walk-on, walk-off access means 25 people can board in a couple of minutes, which is what makes repeated shuttle loops practical.

Start with your headcount, not the vehicle name

The most common booking mistake we see is renting by label. Someone asks for "a minibus" for 14 people and pays for 20 empty seats, or books a 24-seater for 24 guests and then discovers the rolling suitcases have nowhere to go.

Pick the band that matches your confirmed group, then add a little slack. For airport and cruise transfers with full-size luggage, plan on leaving three or four seats empty for bags. For a dinner shuttle with handbags only, you can fill every seat comfortably.

Remember that you pay for the bus, not the seats. If your group sits on the boundary between two sizes, the larger minibus often costs only slightly more and buys real comfort, while two smaller vehicles almost always cost more than one right-sized bus.

Still unsure? Our guide on how many seats are on a minibus goes model by model, and what size charter bus do I need covers groups that are growing past 35.

How many people are riding?

Four minibus builds, four very different trips

Two minibuses with the same seat count can feel nothing alike inside. When you request a quote, tell us how long people will be sitting and what they are carrying. That decides which build we source, more than the number of seats does.

Shuttle-style minibus used for hotel and venue loops

Shuttle minibus

The workhorse. Simple, durable seating, a low first step, generous headroom and wide aisles built for people getting on and off all day. It is the right tool when the ride is 10 to 40 minutes and repeated many times, such as hotel-to-venue loops, parking-lot-to-stadium runs and conference circulators.

If your event needs continuous loops rather than a single out-and-back, read how our shuttle bus rental scheduling works.

Executive mini coach with reclining seats for longer group trips

Executive mini coach

Think of it as a shortened motorcoach. High-back reclining seats, overhead parcel racks, reading lights, USB or outlet power at the seats on most models, and a proper rear luggage hold. This is the minibus to ask for when the drive is two hours or more, when clients or executives are aboard, or when you are running a full day of site visits.

For leadership teams that want an even more polished cabin, compare it with our executive charter bus.

Entertainment minibus

Same chassis, completely different cabin: perimeter lounge seating, LED lighting, a sound system and sometimes a bar counter. It turns the ride into part of the evening, which suits birthdays, bachelor and bachelorette nights and prom. It is not built for luggage or long highway runs, and rules on drinks onboard depend on state law and the operator.

If the ride itself is the party, start with our party bus rental options instead.

Several of our partner operators run minibuses with a rear or side wheelchair lift and securement positions. Availability varies by city, so mention mobility needs on the quote form and give us as much notice as you can. We will confirm the lift type, the number of wheelchair positions and how seat count changes when those positions are in use.

Senior centers, day programs and family reunions with older relatives book this build often. The ADA.gov site explains the federal accessibility framework if you are planning for a public program.

How much does it cost to rent a mini bus?

Most chauffeured minibus rentals through BUSXOXO land between $120 and $460 per hour, or $1,200 to $3,500 for a full day. That is a wide range on purpose: a Tuesday airport drop in a mid-sized city and a Saturday-night wedding loop in Manhattan are different jobs. The table gives the ranges; the list beside it explains where your trip will fall.

Typical minibus rate ranges

Booking typeTypical rangeUsually best for

Full day$1,200 to $3,500Day trips, tours, site visits

Ranges reflect recent BUSXOXO minibus quotes and change with city, date, availability and trip details. Your written quote is the price that counts. Most hourly bookings carry a 3 to 5 hour minimum.

What moves your minibus price

Ranked roughly by how much each one tends to swing the final number.

  • Date and day of week

Saturdays from April through October, graduation weeks, homecoming and the December holiday stretch are peak. Moving a corporate outing to a weekday is often the single biggest saving available.

  • Total hours, garage to garage

Time usually runs from when the bus leaves the operator's yard until it returns. A long wait between drop-off and pickup is still billed time unless the driver can be released and re-dispatched.

  • Mileage and deadhead

Long highway trips are often priced by the mile. If the nearest suitable minibus is based an hour away, that empty "deadhead" drive can appear in the quote too.

  • Overnight driver costs

Multi-day trips need a hotel room for the driver and sometimes meals. Federal hours-of-service limits can also require a relief driver on very long days.

  • Cabin type

An executive mini coach with reclining seats costs more than a shuttle-style minibus. Lift-equipped buses can carry a premium where they are scarce.

  • Tolls, parking and permits

Airport commercial fees, bridge tolls and venue parking are pass-through costs. We list them on the quote so they do not surprise you later.

  • Driver gratuity

Some quotes include it, some do not. Check the line item; 15 to 20 percent is the common custom when it is not included.

Want the math behind these numbers? Our blog walks through how much it costs to rent a minibus with worked examples, explains how charter bus pricing works, and answers how much you should tip a charter bus driver.

Split the quote and a minibus gets cheap fast

A minibus quote looks large until you divide it. A bus is priced as one unit, so every extra rider lowers everyone's share. A 25-person group splitting a $1,000 evening pays $40 each for door-to-door transport, a driver who waits, and no one stuck finding a ride home.

Compare that with what the alternatives quietly add:

  • Rideshares: five to seven cars each way, surge pricing at closing time, and guests arriving in scattered waves instead of together.
  • Self-drive vans: at least two sober volunteer drivers, fuel, parking at both ends, and the insurance questions that come with 15-passenger vans.
  • Personal cars: one parking fee per car, a dozen people navigating separately, and someone always running late.

There is also a cost that never shows up on a receipt: coordination. Someone has to organize rides, chase late arrivals and count heads at the end of the night. With one bus, the count happens once, at the door, and the trip leader gets to enjoy the event too.

We go deeper on these trade-offs in charter bus vs carpooling and charter bus vs van rentals.

Eight trips where a minibus beats every other option

A minibus is not always the answer. These are the situations where it clearly is, with the reason that tips the decision, so you can see whether your trip fits the pattern.

Wedding guest shuttles

Fits the venue driveway a coach cannot.

Barns, estates and garden venues often sit at the end of narrow lanes with tight turnarounds. A minibus loops guests between the hotel block, ceremony and reception, then runs a late return so nobody drives after the toasts. Plan around our wedding bus rental service and browse wedding transportation ideas for timing tips.

Airport and cruise port transfers

One curbside pickup instead of six rideshare apps.

Incoming teams, tour groups and family reunions land on the same flight and leave together. The driver can track the flight and wait at the commercial pickup area. Read how our airport charter bus service handles delays, and see cruise port transfers for ship-day logistics.

Corporate offsites and site visits

Twenty-five people arrive together, on time, talking.

Executive mini coaches suit leadership retreats, client tours and plant visits where a coach would look oversized in the parking lot. The cabin becomes a moving briefing room. Our corporate event charter bus page covers invoicing and recurring bookings.

Winery, brewery and food tours

Nobody draws the short straw as designated driver.

Tasting rooms often have small lots and gravel drives that are easier for a minibus. Book by the hour, plan three or four stops, and let the driver handle parking at each. For a regional idea, see wineries near Austin for group tours.

School and college trips

Right-sized for one class plus chaperones.

A single classroom rarely fills a 56-seat coach, and a minibus with seatbelts and a professional driver is a calmer alternative to parent carpools. Teachers supervise while the driver drives. Learn more on the school bus rental page and in benefits of a charter bus for field trips.

Church groups and retreats

Small groups, big gear, one trusted driver.

Youth groups, choirs and mission teams often travel 20 to 30 strong with instruments, coolers and sleeping bags. A minibus keeps the group together for a weekend camp or a regional conference. See church bus rental and our comparison of a church van vs charter bus.

Sports teams and tournaments

The roster, coaches and kit fit in one bus.

Club and travel teams in soccer, basketball, volleyball or baseball usually run 15 to 30 people including staff. A minibus handles hotel-to-field shuttles all weekend and the drive home. More on sports bus rental.

One minibus, one wedding night, hour by hour

Abstract advice only goes so far. This is how a typical minibus wedding booking actually runs, based on the pattern we plan most often. Swap the venue for a conference hotel or a stadium and the logic holds.

The brief: 28 guests staying at one hotel, ceremony and reception at a countryside venue 25 minutes away, one 30-seat minibus booked for 7 hours.
  1. Bus stages at the hotel

The driver arrives 15 minutes before the first departure, confirms the route and checks the porte-cochere clearance. The trip lead gets a text with the bus number and the driver's name.

  2. First run to the ceremony

Twenty-eight guests board in about four minutes through the front door. Nobody has to find parking at a venue that only has spaces for the wedding party and vendors.

  3. Driver waits on site

Because the venue lane is narrow and the return trip is hours away, the driver parks in the staging area agreed in advance. Waiting time is part of the booked hours, which is why the plan was quoted as one block.

  4. Early return loop

Older relatives and families with young children ride back to the hotel first. It takes 50 minutes round trip, and it is the run guests thank the couple for most.

  5. Last call run

Everyone remaining rides back together. The bus is the designated driver, so the reception can run as late as planned without anyone negotiating car keys.

  6. Wrap and release

The driver returns to the yard. Seven booked hours covered staging, three runs and the wait. A second, smaller vehicle was never needed. Planning your own? Start with our wedding shuttle vs charter bus guide and the case for affordable wedding buses.

Minibus vs van, shuttle, school bus and coach

Choosing a group vehicle is really choosing a set of trade-offs. This matrix puts the minibus next to its neighbors on the points that change the trip, not the brochure. Scroll sideways on a phone.

A note on the shuttle bus, which is not in the table on purpose: in most fleets a "shuttle bus" is a minibus-sized vehicle set up for repeated short loops, so it shares the minibus column's strengths. The choice between them is about the service pattern you need, which the shuttle bus vs motorcoach guide explains well.

When to step down to a van

If you have 14 or fewer riders and light bags, a Sprinter or passenger van saves money without sacrificing much. The one exception is gear: bands, sports teams and photographers sometimes book a minibus for 12 people simply to get the floor space. Our charter bus vs Sprinter van comparison covers the edge cases.

When to step up to a coach

Past 35 riders, more than about three hours on the highway, or a need for a restroom, a 56-seat coach usually wins on both comfort and cost per seat. Read minibus vs coach bus for the full breakdown, and school bus vs charter bus if budget is driving the decision.

Inside the cabin: what is standard and what to ask for

Amenity lists on bus websites tend to promise everything. We would rather be specific. Minibuses come from many manufacturers and our partner operators run different model years, so features fall into three honest tiers.

Cabin comfort matters more the longer people sit. For a 20-minute hotel loop, nobody notices seat pitch. For a three-hour drive to a tournament or a national park, high-back seats, outlets and a working sound system change how the group arrives.

If a feature in the second or third column matters to your trip, put it in the quote request. We confirm it in writing before you pay, not on the day.

Need a restroom on the road? Most minibuses do not have one, so plan a comfort stop every two to three hours or step up to a coach. Our guide do charter buses have bathrooms explains which vehicles do, and the charter bus amenities checklist helps you decide what is worth paying for.

Bags decide the bus more often than people do

A motorcoach hides luggage under the floor. Most minibuses do not have that luxury: bags ride in a rear compartment, on overhead racks or in the last few rows. That is why the same 24-seat minibus can be perfect for a dinner shuttle and too small for a 24-person airport run.

It also explains why travel days produce the most last-minute vehicle changes in our bookings. The headcount stayed the same; the luggage did not. A tournament team with 18 players, kit bags and a cooler can need more room than a 25-person dinner party.

We plan with a simple unit system. Count your group's bags, convert them to units, and compare against the table.

1 unit carry-on or backpack 2 units checked suitcase 3 units golf bag, instrument or equipment case
  • Over the limit? Ask about a luggage trailer, or send bags in a separate van while the group rides together.
  • Strollers, wheelchairs and walkers count as gear. Tell us about them so we reserve the space.
  • For airport runs, share flight numbers. The driver times arrival to baggage claim, not touchdown. Our post on whether a charter bus can pick you up at the airport covers the curbside rules.

Safety you can check yourself, not just take on trust

Every bus company says it is safe. The good news is that in the United States you do not have to take anyone's word for it. Interstate passenger carriers are registered with the Federal Motor Carrier Safety Administration, and much of their record is public.

BUSXOXO books minibuses through a network of licensed partner operators. We check these points before we assign a bus, and we encourage you to check them too. Our safety and trust page explains our standards in more detail.

And if something does go wrong on the day, such as a late bus, a breakdown or a driver issue, our 24/7 line is staffed by people who can dispatch a replacement from another operator in the network. That backup depth is one of the practical advantages of booking through a network rather than a single small fleet.

Look up any operator in two minutesAsk for the USDOT number on your confirmation, then search it with the FMCSA bus company search.
  • Active operating authority and a USDOT number

A carrier taking groups across state lines needs an active USDOT number and passenger-carrier authority. "Not authorized" or "out of service" on a lookup is a hard stop.

  • Insurance that matches the vehicle size

Federal rules set a minimum of $5 million in liability coverage for for-hire interstate vehicles seating 16 or more passengers, and $1.5 million for 15 or fewer. Every minibus falls in the higher tier. The figures come from 49 CFR 387.33.

  • A properly licensed, tested driver

Minibus drivers need a commercial license with a passenger endorsement, a current medical certificate, and enrollment in a drug and alcohol testing program. Ask your operator, or ask us, to confirm it.

  • Itineraries that respect driver hours

Passenger-carrier drivers may drive up to 10 hours after 8 consecutive hours off duty, and may not drive after 15 hours on duty. A plan that ignores those limits is a plan that will be changed on the day. The FMCSA hours-of-service summary lays them out, and we build quotes around them, adding a second driver when a day runs long.

  • A clean, inspected bus

Commercial buses go through pre-trip inspections and periodic maintenance. If the bus that arrives is not the one you were promised, or something looks wrong, call us before anyone boards. For more on what modern buses carry, read modern charter bus safety measures and are charter buses safe.

A booking countdown that keeps your trip on track

Minibuses are among the most requested sizes in our network, so the good ones go first on busy weekends. Here is the timeline we suggest for a stress-free booking, counted back from your travel date.

  1. 90+ d

    Hold peak dates

Weddings, proms, graduations and fall weekends. Request a quote as soon as the date is set.

  2. 60 d

    Lock the quote

Confirm vehicle build, hours and inclusions. Pay the deposit to reserve the bus.

  3. 30 d

    Share the plan

Send pickup addresses, stop list and timings. We flag anything that clashes with driver hours or venue rules.

  4. 14 d

    Final headcount

Confirm riders and luggage. This is the last easy moment to change bus size.

  5. 72 h

    Meet your driver

You receive driver and vehicle details plus a contact for the day.

  6. Go

    Travel day

The bus arrives early for staging. Our team is on call 24/7 if plans shift.

Demand follows the calendar in predictable waves. Minibuses tighten first in May and June, when proms, graduations and weddings overlap, and again from September through mid-November, when fall weddings, homecoming, foliage tours and corporate offsites stack up. December holiday parties are the third crunch. January through early March is the easiest time to book and often the best value, which is worth knowing if your retreat or team trip has a flexible date.

New to chartering? How to rent a charter bus explains every step, and our return and refund policy covers deposits, changes and cancellations.

The trip leader's playbook

Whoever booked the bus usually ends up as the person everyone asks "when do we leave?" These habits make that job easy.

Give exact pickup points, not just addresses

"Hotel lobby" can mean three different doors. Name the entrance, note any height limits or gates, and check whether the venue allows buses to stage. Our parking and pickup guidelines explain what drivers need at airports, hotels and private properties.

Build in ten minutes per stop

A 25-person group takes longer to board than anyone expects, especially with bags or after a meal. Pad each stop and you will finish on time. See how early to arrive for a charter bus trip.

Agree on food, drink and music up front

Operators set their own rules on eating onboard and on alcohol, which also depends on state law. Ask before you pack the cooler. We cover the details in can you eat and drink on a charter bus and charter bus travel etiquette.

Seat people with a plan

Put anyone prone to motion sickness near the front, and keep the back rows clear if bags are riding there. Helpful reads: how to stop motion sickness on a bus and the safest seat on a charter bus.

Name one point person

Drivers take instructions from one contact, not from whoever is nearest the front. Pick that person in advance, share their number with us, and route every change of plan through them. It prevents the classic mix-up where two guests send the bus to two different places.

Keep longer rides lively

On a two-hour transfer, a playlist, a quiz over the PA or a few games to play on a charter bus turn dead time into part of the event.

Minibus rentals in all 50 states, planned locally

BUSXOXO is headquartered in North Platte, Nebraska, and books minibuses through vetted partner operators nationwide. That network is what lets us quote a 24-seater in Phoenix and a 35-seat mini coach in Philadelphia from the same desk.

Local pages carry the details that change from city to city: airport pickup rules, popular venues, seasonal demand and the trips groups book most. If your trip starts in one of the areas below, start there. Everywhere else, our full locations list covers every state.

Wherever you start, the booking works the same way: one quote, one point of contact and one written confirmation, even when the bus comes from a local operator you have never heard of. If plans change on the day, you call us rather than hunting for a dispatcher's number.

Trip ideas that suit a minibus

Day trips and short tours are where minibuses shine: the group is small enough to be flexible and the bus is small enough for scenic roads and small-town parking. A few favorites from our blog:

Mini bus rental questions, answered straight

The questions we hear most from first-time minibus renters. Something not covered here? Our main FAQ covers payments and policies, or you can contact the team any time.

Call +1 (308) 304-6668, 24/7.

How many people fit in a mini bus?

Most minibuses seat between 18 and 35 passengers plus the driver. Compact models carry 18 to 25, and mid-size models and mini coaches carry 28 to 35. If your group also has suitcases, plan on leaving a few seats free for bags, since many minibuses do not have under-floor storage.

How much does it cost to rent a mini bus with a driver?

Through BUSXOXO, chauffeured minibus rentals typically run $120 to $460 per hour or $1,200 to $3,500 per day. City, date, total hours, mileage and the type of cabin decide where your trip falls. Request a quote with your details for an exact written price.

Is there a minimum rental time?

Yes, most hourly minibus rentals carry a 3 to 5 hour minimum, depending on the city and the day of the week. Short airport or cruise transfers are often quoted as a flat point-to-point trip instead.

Can I rent a minibus and drive it myself?

No. A bus designed to carry 16 or more people, including the driver, requires a commercial driver's license with a passenger endorsement. Every BUSXOXO minibus rental includes a professional, licensed driver, which also means your group never needs a designated driver.

Do mini buses have restrooms?

Rarely. Restrooms are standard on most full-size coaches but uncommon on minibuses. For rides longer than two or three hours, plan comfort stops or consider a 50 to 56 passenger coach.

How far in advance should I book a minibus?

For peak dates such as spring and fall Saturdays, prom and graduation season or December holidays, book 60 to 90 days ahead or more. For ordinary weekdays, two to four weeks is usually enough, and short-notice bookings are often possible.

Is the driver's tip included in the price?

It depends on the quote. Some include gratuity as a line item and some leave it to you. Check your quote; if it is not included, 15 to 20 percent of the base fare is the common custom.

Can the minibus make multiple stops?

Yes. Hourly bookings let you stop as often as you like within the booked time, which is ideal for tours, bar crawls, winery days and multi-hotel pickups. List the stops in advance so the driver can plan parking at each.

Can we bring food and drinks on board?

Snacks and non-alcoholic drinks are usually fine. Alcohol depends on state law and the operator's policy, and is never allowed for passengers under 21. Ask when you book so the answer is in writing.

Are wheelchair-accessible minibuses available?

Yes, in many cities. Lift-equipped minibuses are in shorter supply, so tell us about mobility needs when you request a quote and book as early as you can. We will confirm the lift type and number of wheelchair positions.

Can I book a minibus for a one-way or multi-day trip?

Both. One-way trips often include the bus's return drive in the price. Multi-day trips include the driver's lodging and are planned around federal driving-hour limits. See round trip vs one-way charter bus rental for how each is priced.

What is the difference between a minibus and a shuttle bus?

Often it is the same vehicle size used differently. "Shuttle" usually describes a service pattern, with repeated loops between fixed points, while "minibus" describes the vehicle. Shuttle builds favor easy boarding; mini coach builds favor comfort on longer drives. Our shuttle bus vs charter bus article goes deeper.

How much luggage fits in a mini bus?

As a guide, a 24 to 25 seat minibus carries about 18 to 20 riders comfortably if everyone has one checked suitcase, and the full group with carry-ons only. Executive mini coaches with a rear hold carry more. We confirm capacity for your specific bus.

Do minibuses have seatbelts?

Most newer minibuses have lap or three-point seatbelts at every passenger seat, but older shuttle-style models may not. If seatbelts are a requirement, for example for a school group or young children, say so on your quote request and we will only assign a bus that has them.

Can I book several minibuses for one event?

Yes. Large weddings, conferences and festivals often run two or three minibuses on staggered loops, or pair minibuses with a full-size coach. Several smaller buses can move people more often and serve more pickup points than one large coach, and we coordinate all of them under one booking.

Do you offer minibus rentals near me?

BUSXOXO books minibuses in all 50 states through licensed partner operators. Enter your pickup address on the quote form and we will source the closest suitable bus, which also keeps travel charges down.
