Virginia charter bus questions, answered
The questions we hear most from Virginia trip planners. For general booking questions, see our main FAQ page.
How much does it cost to rent a charter bus in Virginia?
A 55-passenger motorcoach typically costs about $145 to $325 per hour with a five-hour minimum, or about $1,400 to $3,000 for a full day. Minibuses run about $120 to $250 per hour and Sprinter vans about $105 to $210. Peak dates, long deadhead distances and overnights raise the total. Request a quote for an exact price.
Can a full-size charter bus drive Skyline Drive in Shenandoah National Park?
Partly, and it depends on the bus. Marys Rock Tunnel at mile 32.2 has a 12'8" clearance, which is tight for many motorcoaches. Coaches can usually run the northern section from Front Royal to Thornton Gap, or enter at Swift Run Gap and head north, without reaching the tunnel. For the full ridge, a minibus or Sprinter van is the safer choice.
How far in advance should I book a bus in Virginia?
For April, May, September and October, request a quote 8 to 12 weeks ahead, and earlier for graduation and football weekends. Off-peak trips can often be booked two to four weeks out. We also handle last-minute requests when a bus is free, and the sooner you ask, the more choice you have.
Can you pick up my group at Dulles or Reagan National?
Yes. We arrange pickups at Dulles, Reagan National, Richmond, Norfolk, Newport News, Charlottesville, Roanoke and Lynchburg. The driver meets your group in the airport's approved commercial zone, and we watch flight arrivals so delays are covered. Share the flight numbers when you book.
Do Virginia charter buses travel out of state?
Yes. Interstate trips from Virginia to Washington, D.C., Maryland, North Carolina, Tennessee and beyond are common. The operator needs federal authority for interstate travel, which you can verify through the FMCSA. Long trips may need a driver overnight to stay within federal hours-of-service limits.
Do I need a Virginia-licensed bus company for a trip inside the state?
For-hire passenger trips that start and end in Virginia may require intrastate operating authority from the Virginia DMV in addition to federal registration. We match in-state trips with operators authorized for that service. If you are booking directly with a company, ask which authority it holds.
Is the driver's tip included in the price?
Usually not. Gratuity is customarily 10 to 20 percent of the trip cost and can be paid in cash on the day or added to your invoice. If your organization prefers a single all-in number, tell us and we will build the tip into the quote.
Will the bus wait for us during an event?
It can. If you reserve the bus by the hour or the day, it stays nearby and returns when you call. For long events, a drop-off and separate pickup can cost less. We will price both options, since the right choice depends on the wait time and parking at the venue.
Can we make several stops around Richmond or Northern Virginia?
Yes. Multiple pickups, a lunch stop and several attractions in one day are routine. List every stop when you request a quote so we can reserve enough time. In Northern Virginia, we leave extra room between stops for traffic.
What size bus do I need for 40 people?
A 50- or 55-passenger coach is the usual answer, because it leaves spare seats and holds luggage underneath. If the trip is short and local with little luggage, a 40-passenger shuttle bus can work. For 25 to 35 riders, a minibus is often the better fit and costs less.
Can we drink alcohol on a charter bus in Virginia?
Policies vary by operator and vehicle. Some party buses allow alcohol for passengers 21 and older; most motorcoaches and school buses do not. We confirm the operator's rule in writing before the trip so there are no surprises on the day.
What happens if the weather turns bad on a mountain trip?
The driver and operator make the final safety call. For winter trips into the Shenandoah Valley or Southwest Virginia, we discuss a backup date when you book. If a trip must change because of unsafe conditions, our refund policy explains how changes are handled.
